The CBHCC typically meets in public four (4) times a year and conducts the meetings in both official languages (simultaneous interpretation is provided). Volunteer code development committees usually meet at least four (4) times a year and conduct their business in English. Task groups, which are established on an as-needed basis, meet at the call of their Chairs. Their business is conducted in English. The Advisory Council on Harmonized Construction Codes meets twice a year, or additionally at the call of the chair.

Meetings may be held in person or virtually. In-person meetings rotate between locations across Canada to encourage public attendance and participation by Code users. Information sharing, discussions, informal polling, balloting, and other work are encouraged to take place between meetings, to save time, and results are reported at the next meeting.

Anyone may observe public meetings of the CBHCC, code development committees, task groups, and the Advisory Council on Harmonized Construction Codes.

Participation in public meeting discussions is normally limited to members and assigned staff; however, observers may participate in discussions at the discretion of the chairs.

People wishing to submit written materials regarding a meeting agenda item, for distribution to committee members, are required to submit the materials to the committee secretary two (2) weeks prior to attending the meeting. Materials submitted during meetings may be distributed with approval of the committee chair.

People wishing to make a presentation to a meeting on a particular subject must notify the CBHCC in writing at least four (4) weeks before the meeting, describing the nature and scope of the subject to be addressed, stating the desired length of time needed to make the presentation, and providing a written copy of material to be presented.

A presentation request may be approved, declined, or deferred based on the subject’s relevance to the group’s responsibilities and work. When such a request is approved, the presentation is scheduled to suit the agenda, a time period is set for the presentation and related discussion, and the requester is advised.

Use of audio or visual recording equipment during meetings is not permitted.

For committee meetings that are open to the public, agenda packages, outlines and supporting materials are available to the observers upon request. To request a meeting agenda package, or to make an inquiry about the topics being discussed, please contact the CBHCC Secretary.

Minutes are prepared and distributed to members of the committee following meetings. Once approved by the committee, records of public meetings are available to anyone upon request.
